A large company wanted the facility to invite clients to a corporate hospitality event. Managing these types of events can be an organisational nightmare. A method to send out invitations, track responses and project manage the occasion was needed to ensure the big day went without a hitch.

Solution

Delibero had no hesitation in recommending Act! to accomplish a professionally organised event. Initially the invitees were identified and placed into a group. An initial invitation was created as a template using graphics to incorporate the theme of the event (ie golf or sailing etc). This was then sent to the group using the Mailmerge option to produce the envelopes as well as the personalised invitation.

The group was then divided into two sub-groups, those who accepted the invitation and those who declined. The accepted group were then sent tickets, car parking stickers and maps to direct them to the venue, all using the Act! mail merge facility.

The activities were all scheduled into the calendar with alarms to act as a reminder and ensure nothing was forgotten.

After the successful event a follow up letter was sent thanking those who attended but also using the opportunity as a reminder of the company's products.

Having kept the group, the folowing year was a doddle as all the information was at hand and only needed a bit of updating. They use this method for sending cards at Christmas too which always seems to come around too quickly!
